Landscaping Invoice Template: Copy It, Then Stop Typing It

A landscaping invoice has one job: get you paid without a phone call. The ones that do it share the same bones, and the ones that cause “can you resend that?” are always missing one of five things. Here is the template, what each line is for, and the mistakes that delay checks.

The short answer: A landscaping invoice needs your business details and license number, the client and the property address (they differ more often than you think), line items split between labor and materials, the payment terms with a real due date, and how to pay. Copy the template below, or let your software fill it per job.

I build HoundBell, a CRM for service businesses, and I have run an agency serving contractors since 2017. The template below is the shape that gets paid fastest across the landscaping businesses we see.

The template

[Your Business Name]
[Address] · [Phone] · [Email] · License # [number, where required]

Invoice # [1047]  ·  Date [date]  ·  Due [date, e.g. 14 days]

Bill to: [Client name, email, phone]
Service address: [where the work happened, if different]

ItemQtyRateAmount
Spring cleanup, labor (2 crew)6 hrs$85/hr$510
Mulch, black, installed8 yd$78/yd$624
Shrub trimming and haul-away1$180$180

Subtotal $1,314 · Sales tax [if your state taxes landscaping] · Total due $[total]

Pay by: card at [payment link] · check to [name] · Zelle [number]
Terms: Due within 14 days. A [1.5%] monthly late charge applies after [30] days. Questions? Call before the due date, not after.

Why each piece is there

  • The service address line. Landscaping bills often go to someone who was not standing in the yard: a landlord, a property manager, a spouse. Separate “bill to” from “service address” and the approval stops bouncing between them.
  • Labor and materials on separate lines. One lump sum invites negotiation. “6 hours at $85” and “8 yards at $78” reads as arithmetic, and arithmetic does not get argued with.
  • A due date, not “due on receipt”. “On receipt” means never. A date means an unpaid invoice is late, which is the fact your reminder leans on.
  • The payment methods ON the invoice. Every way to pay that is not printed costs you days. A card link gets you paid the same night more often than any other line on the page.
  • Invoice numbers that increment. Your accountant, a dispute, or a tax audit will ask for them in order. Start at 1000 so you do not look brand new.

The mistakes that delay checks

Sending it a week after the job (send it from the driveway; the memory of the clean yard is your collections department). Leaving off the tax when your state taxes landscaping services, then re-invoicing. Attaching a PDF to an email with no payment link, which turns paying into homework. And invoicing recurring maintenance by hand each month when the numbers never change.

When the template becomes the bottleneck

A template works until the fifth invoice of the week. In HoundBell the invoice builds itself from the job: your prices come from your price book, labor and materials land as separate lines, the client pays by card on their own page, and a polite reminder chases it so you never do. Recurring maintenance invoices send themselves on your schedule, and a cash or check discount can show two prices so card fees stop eating the margin. If you run landscaping crews, the rest of the system is built for you too; see the landscaping CRM guide.

Quick answers

Should I charge sales tax on landscaping work?

It depends on your state: some tax all landscaping services, some only materials, some neither. Check your state revenue site once, then set it on every invoice the same way. Getting this wrong in either direction costs you money.

What payment terms are normal for landscaping?

Net 14 for residential, net 30 for commercial and property managers. Shorter reads as pushy on commercial work; longer than 30 is lending money for free.

Invoice before or after the job?

After, same day, from the site. For large installs, invoice a deposit before and the balance on completion, and say so in the estimate.

The verdict

Copy the template and you will look professional today. But the real win is never typing it: in HoundBell the invoice is two taps after the job is done, with your prices, their card on file, and the reminder already scheduled. From $57 a month, nothing metered.
