Sales tax on quotes and invoices

Where: Settings, Sales tax.

If your trade collects sales tax, set it up once and every quote and invoice picks it up automatically.

  1. Enter your tax rate, for example 6.25.
  2. Set the tax label if “Sales tax“ is not what your state or province calls it.
  3. Choose what it applies to by default: nothing, everything, or materials only. This only sets the starting point.
  4. Save.

From then on, every line item on a new quote or invoice has its own Taxable toggle, already set to your default and yours to change per line. The document shows a Subtotal, the tax, and a Total, on the page you send, the public page your client sees, and the email. Once a quote or invoice is sent, its tax is frozen. Changing your rate later never rewrites something you already sent out.

Tax collected shows up in your Books ledger, and if you sync to QuickBooks Online, the tax detail goes over with the mapped tax code.
