Reminders, and syncing to Google or Apple Calendar
A booking made or confirmed less than 30 minutes before it starts gets the confirmation only. The hour-before and 15-minute reminders are skipped for it, since a “see you in 15 minutes” right after “you’re confirmed” reads as a mistake.
Reminders: about an hour before a confirmed booking, the client gets a reminder email and you get an email plus a phone push. Each booking gets exactly one reminder. Every booking has a set time (the booking window requires one), so every confirmed booking gets its reminder.
Sync: click Sync to your calendar on the Calendar page. Copy your private feed link, then:
- Google Calendar (on the web): Other calendars โ + โ From URL โ paste โ Add calendar.
- Apple Calendar (iPhone): Settings โ Apps โ Calendar โ Calendar Accounts โ Add Account โ Other โ Add Subscribed Calendar โ paste. On a Mac: Calendar โ File โ New Calendar Subscription.
Every confirmed booking then appears in your personal calendar automatically. One honest caveat: Google refreshes subscribed feeds on its own lazy schedule, sometimes hours later. Apple refreshes faster. For instant needs, every confirmation email carries add-to-calendar buttons that work immediately. The feed link is private to your workspace; treat it like a password. —
*Internal note for Michael (not for publishing): screenshots referenced above are in the images folder, captured 8-27-2026 from the live app (Mike – BAO workspace, personal email masked to client@example.com, admin-only Users link hidden). When features change, recapture and update the matching article. The client quote screenshot shows the accepted state; the client invoice screenshot shows an unpaid invoice with the Pay now button.*
Google Calendar can now be two-way instead: see two-way Google Calendar sync. The feed link on this page remains the way to reach Apple Calendar.
